Exchange applications are among the most complex transactions a student office runs: eligibility checks, document collection, ranking preferences, partner nominations, acceptance rounds. Run by email, each stage generates threads; threads generate version confusion; and the coordinator becomes the only person alive who knows the true state of any application.

Why email collapses under exchange complexity

Every applicant is a multi-stage pipeline, and email shows none of the stages. Who has submitted what? Who is waiting on a transcript? Whose nomination went to the partner? The answers exist — distributed across hundreds of messages — so the coordinator maintains a shadow spreadsheet that is accurate on the day it is updated and aspirational thereafter. Students, seeing nothing, email for status updates, adding traffic to the very channel that is drowning. One missed deadline with a partner university costs a place the institution cannot recover.
